Review and record customer payments

Track a collection without confusing a payment record with a transfer of money.

Before you begin

Confirm the customer, amount, method and any sale allocation before saving. Payment access does not authorise you to collect or move money outside your organisation’s process.

  1. 01Choose the customer and context

    Find the customer or relevant sale through the Payments flow. Review outstanding information and any existing entry for the same reference.

  2. 02Enter the collection accurately

    Use the real amount, method, reference and supported status. Distinguish confirmed collection from a draft or entry awaiting confirmation.

  3. 03Review allocation and evidence

    Where allocation to sales or supporting documents is available, verify the selected records. A wrong allocation can make the customer’s account misleading even if the amount is correct.

  4. 04Save once and inspect

    Wait for confirmation, then open the payment detail. If the save result is uncertain, search for the amount and reference before resubmitting.

Check the result

The payment identifier, customer, amount and status agree with the evidence you have.

If something does not look right

A duplicate reference or conflicting status should be investigated, not worked around with an invented reference. Pending payment information may not reduce a confirmed balance.
