In most distribution businesses, the day does not really end when the last delivery is made. It ends days later, when someone in accounts finally sits down with the sales register, the delivery challans, the cash book and the bank statement and makes them agree. By then, the questions — why is this collection missing? where did this stock go? — are a week old, and the people who could answer them have moved on.
Day-end closure brings that work back to the day it belongs to.
What a day-end close checks
- Sales and orders for the day are complete.
- Deliveries match what was dispatched, with proof where it was delivered.
- Collections — cash, UPI, cheques — are recorded against the right customers and match what was deposited.
- Stock movements — dispatches, van loads, transfers, returns — balance.
- Exceptions are listed and owned by someone before the day is closed.
Why it slips
- Records arrive late — paper from the field, messages from drivers.
- Different teams own different pieces, and nobody owns the whole day.
- Accounting needs everything retyped, so the close is postponed until someone has time.
How day-end works in Zaqnet
- The Closure app in ControlRoom shows a calendar of business days, with each day's reports — sales, collections and stock movements, as recorded by the office and by field teams in GroundLink.
- A day can be recomputed when late records arrive, so its figures reflect what actually happened.
- When the day is right, AutoSync takes over: choose the business date and supported records in Closure, queue an AutoSync job, and the AutoSync desktop companion forwards them to your configured TallyPrime or BUSY company.
Your accounts team keeps the accounting software it knows. It simply stops receiving the day as a pile of paper. See also the day-end use case.
A day closed on the day is a reconciliation. A day closed a week later is an investigation.
Making it a habit
- Fix a closing time, and treat an open day as an exception, not the norm.
- Close in order. Don't close today while yesterday is still open.
- Give every exception an owner before closing.
- Review the week's exceptions together: repeated gaps point to a process, not a person.
